Registration Testimonial - Privacy Statement

A new data protection law was introduced on 25th May 2018. As a result, we've updated our Privacy Notice to make it easier for you to find out how we use, process and protect your information.

What information do we need?

Argyll and Bute Council will act as the ‘Data Controller’ for the personal data you provide to us. The Data Protection Officer, who is responsible for ensuring personal data is managed in accordance with data protection legislation, can be contacted as follows:

The information we collect from you will include details such as your Party Names, Contact Email Address, Date of Ceremony, Venue of Ceremony, Registrar’s Name and Photographer’s Contact Details if applicable.

Unless specifically agreed with you, we will only collect personal data about you which does not include any special categories of personal information about you (also known as ‘sensitive personal data’

Why we need this information?

Your information is being collected for the following purpose(s):-Promotion of Ceremonies within Argyll & Bute Council.

 We need to know this personal data in order to promote Civil Ceremonies on our Website, Facebook Page, Civil Ceremonies Brochure and Civil Ceremonies Gallery.

If you do not provide this information then we will be unable to use your photograph and testimonial in our promotion of Civil Ceremonies.  We will not collect any personal data from you that isn’t needed for delivery of those services.

The lawful basis for collecting your information in these circumstances is / are*:-

Consent – you have given us your consent to process your personal data in the promotion of our Civil Ceremonies.

What we will do with your information?

Your photograph and testimonial will be displayed on our registration website gallery, published on the NRS website, used on Argyll & Bute Civil Ceremonies, Facebook and used for promotional purposes. The party names and venue will be published.

In order to provide this service to you, we will share your information with the service / agencies or categories of organisations listed below for the purposes specified.

  1. National Records of Scotland
  2. Publisher used by the council in the production of the Civil Ceremonies Brochure
  3. Photographs and testimonials will be published on the Council’s Facebook page and can be shared by 3rd Parties. Once this information is published on Facebook it is no longer within the Council’s control.

All of the information we collect from you will be processed by staff in the United Kingdom.  You should also be aware that your data will be stored on servers located within the United Kingdom; the data will not be processed outside the European Union.  We will take all reasonable steps to ensure that your data is kept securely and more information on how we do this can be requested from the Data Protection Officer.

How long will we keep your information?

We will usually keep your information for a minimum of 3 years, after this period it will be destroyed under secure arrangements if it is no longer required for the lawful purpose(s) for which it was obtained.  More information on our retention policy and procedure can be obtained from the Data Protection Officer if required.

No automated decision making will be taking place

Your Rights

When you provide information to the Council, you will have the following rights:

  • to withdraw consent at any time, where the lawful basis specified above is consent
  • to lodge a complaint with the Information Commissioner’s Office – see below for details
  • to request access to your personal data – please contact the Data Protection Officer if you wish to submit a request.
  • to data portability, where the Legal basis specified above is i) consent or ii) performance of a contract
  • to request rectification or erasure of your personal data, as far as the legislation permits – please contact the Data Protection Officer and provide details of what data you wish to be rectified or erased.
